Before appointment

  • Confirm the agent has authority to operate at the nominated port.
  • Declare conflicts of interest and any sanctions concern.
  • Provide bank details and tax treatment for PDA remittance.
  • Confirm emergency contact coverage outside office hours.

During the call

  • Report incidents, delays, cargo discrepancies, and cost variances immediately.
  • Do not order optional services without principal approval unless safety requires it.
  • Keep signed documents, receipts, and supplier invoices under the voyage reference.
  • Escalate authority detentions, terminal disputes, and crew welfare matters.
